Lahey Health Service Response Coordinator/Admin Assistant, Plant Maintenance, 40 hours in Beverly, Massachusetts

Job Description

Position Summary:

Responsible for all administrative and all other support functions for the Manager of System Facilities and the Director of Support Services, but not limited to the following: prepares confidential documents; coordinates meetings; maintains files and records; handles mail and phone calls; is proficient in all computer functions, i.e, word processing, PowerPoint, Excel, Groupwise calendar; coordinates and prepares materials for standing meetings such as department meetings and standing committee meetings, including minutes and reserving audio visual equipment and conference room; directly assists the appropriate Director/Manager and acts as liaison between him/her and employees as directed, as well as external contractor or vendors. Assist in Budget preparation and variance reporting for the Director/ Manager. Coordinates all data collection and retention of records for the accreditation and regulatory authorities. Coordinates and executes special projects as directed by the Manager of System Facilities and the Director of Support Services. Manages and coordinates all renewals and new contracts related to Plant Operations. Maintains all Shelf Contracts for Plant Operations for all sites. Coordinates and maintains all records for the electronic Preventative Maintenance system at all sites. Works with System Facilities Manager and accounts payable to file, code and submit all invoices to the Finance Department for Plant Operations. Maintains all training/ educational files for Plant Operations staff at all Northeast legacy sites. Is the administrative support for the Safety Committee and Safety Officer for Northeast legacy.

Qualifications

Education/Experience:

High School Graduate with minimum of Associates Degree preferred; minimum 5 years experience at the Administrative Assistant Level, preferably in a hospital administration setting, but not mandatory; experience with computers and excellent interpersonal skills required. Scheduled Hours Full-time, 40 hours per week, M-F, day shift. Must be flexible with schedule and able to work in emergency situations.
