University of Colorado Executive Assistant to the Dean in Colorado Springs, Colorado
This position serves as Executive Assistant to the Dean of the College of Business (COB). The position is responsible for supporting the Dean and the College in meeting teaching, research, service missions, and external relations of the College. Responsibilities for this position include support of the College’s academic programs and initiatives, coordinating events and community outreach initiatives, supervising student employees, and facilitating the interaction of the Dean with campus, system, and community members. This position serves as a liaison between the Dean and the College of Business faculty and staff and ensures the office functions efficiently. Other duties as assigned.
Manages the Dean’s calendar, coordinate meetings for committees and planning retreats. Prioritize Dean’s phone calls, messages, and mail.
Coordinates the Dean’s initiatives, committees, and special assignments.
Assists the Dean with campus assignments.
Keeps updated information on various COB related committees and committee members.
Keeps updated contact information of all relevant stakeholders.
Monitors and coordinates flow of correspondence-related assignments within the office.
Oversees the Dean’s office records organization and maintenance system.
Provides internal and external communication as needed.
Drafts reports and correspondence for Dean including program, degree, and student fee requests following University, Regent, and/or CCHE rules and format.
Assists the Dean in special projects such as AACSB International maintenance of accreditation visits, Beta Gamma Sigma honor society administration, etc.
Responsible for the Dean’s travel arrangements.
Researches policies in support of College requests.
Serves the College as the point person for campus and system questions.
Point person for central communications within College of Business, i.e. email and Dean’s eNews.
Provides comprehensive event and meeting support as needed for the College Strategy Team and the Dean’s Executive Advisory Board.
Coordinates projects, events, and communication of information from the Dean’s office, such as conferences, workshops, faculty and staff retreats, staff meetings, awards banquet, and other special events as they arise.
Interacts with members of the university community, business community, and the public on behalf of the College.
Exercises judgment and independent initiative; handle time sensitive matters that require concise problem-solving and confidentiality.
Backup Emergency Preparedness Coordinator for College of Business, including preparing and submitting annual Emergency Preparedness Plan, briefing College of Business Leadership Team on revisions/updates to plan, communicating plan to College of Business departments, and participating on relevant subcommittees for Campus Emergency Preparedness Committee when Coordinator is unavailable. Attend applicable training sessions.
Purchases items as needed for events and for the department. Prepares monthly expense reports and reconciles monthly purchases.
Assists the Associate Dean as needed.

Salary: $49,000 - $56,000
For the purposes of FLSA this position has been determined to be exempt from (not eligible for) overtime under FLSA.

- Completed Bachelor’s degree from a regionally accredited institution and at least 1 year of progressively responsible administrative/executive level support experience (or at least 5 years of progressively responsible administrative/executive level support experience).
Experience working with faculty, staff, and students in a traditional university setting.
Experience working in professional event planning (for example, as a job duty of a current or previous position).
Demonstrated ability to independently perform the wide range of administrative and technical responsibilities associated with this position.
