Job Description:

This full-time OPS position will serve as Gifts and Records Processor in the Gifts and Records Department at UF Advancement. He/She is responsible for the timely and accurate processing of alumni memberships and biographical records in the Advance Database and will report directly to the Alumni Membership Specialist.

Essential functions will include:

  • Verify and update biographical/entity information in Advance per gift batches, alumni memberships, Annual Giving, emails, unit requests, Phonathon reports, obituary registries, data services and special projects.

  • Provide coverage of shifts in PCI-compliant clean room; this includes answering calls from donors wanting to charge their credit cards, calls to the department general line, opening and processing the morning or afternoon mail.

  • Create new entities, both individual and corporate, within the Advance Database.

  • Provide back-up during staff absences as directed by the Records Specialist.

  • Assist in the processing of data files from Shands and Gator Boosters.

  • Respond to inquiries received from donors and UF Advancement staff.

Minimum Requirements:

A high school diploma and two years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

The successful candidate will possess:

  • Two years of experience in a professional, customer service, team oriented environment

  • Ability to use sound judgment and exercise strict confidentiality and discretion in all matters

  • Data Entry, proofreading, grammar, and spelling skills

  • Good analytical and problem solving skills

  • The ability to work accurately and efficiently with minimum supervision

  • A willingness to work overtime is required including Saturdays and holidays

  • Ability to do in-depth research and follow-up

  • Excellent organizational and time management skills

  • The incumbent must be computer literate in these areas: MS Windows, MS Word, MS Outlook, and World Wide Web browsers
