The VA Hudson Valley Health Care System is currently recruiting for a full time - Temporary Lead Medical Support Assistant (Profile Clerk) in our Health Administration Services, located at the Montrose Campus.

The incumbent serves as a Lead Medical Support Assistant in Health Administration Service for the VA Hudson Valley Health Care System (HVHCS), with the responsibilities for managing all Clinic Profiles.This position is located in the Health Administration Service, VA Hudson Valley Health Care System. This position provides support to the Clinic Profile set-up in Health Administration Service.
The VA Hudson Valley Health Care System offers a full range of acute and chronic care services for veterans residing in six adjacent counties, including, Dutchess, Westchester, Putnam, Orange, Rockland and Sullivan serving over 400,000 veterans. Services include, but are not limited to medicine, surgery, psychiatry, rehabilitative medicine, long term care, women's health, blind rehabilitation, mental health, substance abuse, PTSD, and services for the seriously mental ill and nursing home care. There are numerous specialty clinics and laboratories.
- Responsible for taking incoming calls and answering questions regarding Clinic Profiles
- Manages the Hudson Valley VA Clinic Profiles by developing instructions for Clinical Staff, program manager, or support staff.
- Provide guidance to staff members.
- Manages changes in program policies and procedures
- Reviews clinic setup program workload
- Orients and provide training as it pertains to the program for new and current employees
- Acts as a liaison between Medical Support Assistants and supervisory staff in order to resolve program issues
- Ensures all correspondence regarding Clinic Profiles , Environmental Exams, and other items as requested program are answered in a timely manner
- Responds to all veterans, Veterans Integrated Service Network (VISN), Veterans Affairs Central Office (VACO), Congressional and other external inquiries
- Produces reporting requirements and assumes follow up responsibility for all reports
- Communicates regularly with the Health Administration leadership, keeping them informed of special requests/instructions, new/revised policies and procedures, and specific required actions
- Plans and organizes work with general assistance from the supervisor to meet local and VA wide timeframes to complete analysis requirements, reports, and special assignments, only refers the non-routine and high technical problems to the supervisor
- Responsible for maintaining the confidentiality of information to carry out required duties

Physical Requirements: The work is primarily sedentary in nature but requires some bending, walking, standing, lifting, carrying patient records and various reports to various areas of the hospital.

Basic Requirements: * United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Grade Determinations: GS-7 Lead Medical Support Assistant experience. One year of experience equivalent to the next lower grade level.
Assignment. The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: 1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 2. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance the established policies and regulations. 3. Ability to provide staff development and training. 4. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. 5. Ability to review and monitor data to ensure all reports are complete and accurate.
