The Secretary (OA) position is in the Human Resources Management Service (HRMS) of the Tennessee Valley Healthcare System (TVHS). The incumbent performs a variety of clerical and administrative duties which are essential to the work of HRMS. The Secretary provides assistance to the Chief Human Resources Officer (HRO), Assistant Human Resources Officer (AHRO) and HRMS Staff. The incumbent is the principal administrative support of HR Service and operates independently of any other position in the office. Duties include, but are not limited to:

  • Serve as primary point of contact for HRMS.

  • Receive visitors and phone calls.

  • Direct callers and visitors to appropriate staff.

  • Maintain calendar and appointments for Chief Human Resources Officer (HRO) and Assistant Human Resources Officer (AHRO).

  • Serve as the primary point of contact for TVHS WebHR needs.

  • Receive incoming correspondence, screens and distributes appropriately.

  • Prepare and distribute agenda for HR staff meetings and record, prepare and distribute minutes of staff meetings.

  • Prepare, create & edit correspondence ensuring proper format for distribution.

  • Maintain files and records.

  • Locate and assemble information for various reports, briefings, conferences etc., following up with staff members to ensure various commitments and suspense's are met.

  • Order supplies and equipment.

  • Serve as Timekeeper.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement Friday, October 20, 2017.

Specialized Experience:* Applicants must have 1 year of specialized experience equivalent to at least the GS-5 grade level in the Federal service. Specialized experience is experience which is in or directly related to the duties of the position to be filled such as *working as an administrative assistant or secretary responsible for the office or department administrative functions and using a variety of office software such as Microsoft Office, Excel, Access, etc.,which has equipped the applicant with the specific knowledge, skills, and abilities to successfully perform the duties as described in this announcement.

*Must have the ability to type 40 WPM. *

*There is no educational substitution for the GS-06 level. *

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).
