Summary/General Description Of Job:

Incumbent provides principal secretarial support to the Services Manager. This position performs various clerical and secretarial duties that require knowledge of general office procedures and an understanding of the organization, programs, and procedures related to the work of the office; addressing problems, and handling deviations in the work of the office according to general instructions, priorities, duties, policies, and program goals. The incumbent works independently, receiving minimum supervision and guidance.

Essential Duties & Job Functions:

  • Handles differing situations, problems, and deviations in the work of the office according to the supervisor’s general instructions, priorities, duties, policies, and program goals.
  • Screens telephone calls, visitors, and incoming correspondence; personally responds to requests for information concerning office procedures; determines which requests should be handled by the supervisor, appropriate staff member or other offices.
  • Prepares routine non-technical correspondence ensuring internal consistency and conformance.
  • Schedules tentative appointments, makes arrangements for conferences and meetings and assembles established background materials, as directed. May attend meetings and record and report on the proceedings.
  • Reviews outgoing materials and correspondences for internal consistency and conformance with supervisor’s procedures; assures that proper clearances have been obtained, when needed;
  • Collects information from the files or staff for routine inquires on office programs(s) or periodic reports.
  • Refers non-routine requests to supervisor or staff
  • Creates, maintains, and updates databases and/or spreadsheets regularly, and provides reports as needed.
  • Inspects, validates, and scans identity source documents.
  • Provides general customer service.
  • Performs data entry into various internal systems.
  • Maintains, coordinates, and tracks all needed equipment services, including office equipment.
  • Develops project tracking processes and related reporting requirements.
  • Prepares routine non-technical correspondence ensuring internal consistency and conformance.
  • Performs other related duties as assigned.

  • The proper use of tools and/or equipment commonly used in an office/clerical environment.
  • Completing all mandated training requirements per government and management directives.
  • Timely and cost effective performance of duties.
  • Timely completion and accuracy of all departmental work.
  • Dealing with a variety of people in a professional, courteous manner in diversified situations.
  • Having the ability to work well under pressure.
  • Adherence to established CGS, LLC safety policies and good industrial and office safety practices.
  • Compliance with CGS, LLC Standard Operating Procedures and Personnel policies and procedures.


  • High School Diploma or equivalent.
  • Two (2) years of basic clerical experience.
  • Minimum of one (1) year of secretarial experience supporting a department manager.
  • Intermediate skill in the use of MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Skill in the use of common office machinery, including copiers, fax machines and computers.
  • Ability to carry out tasks without direct supervision.
  • Ability to obtain and maintain a Favorable National Agency Check w/Inquiries (NACI); or the ability to obtain and maintain a DoD security clearance at the Secret level or Top Secret Level, as applicable to the position/location requirements.
  • Ability to successfully pass any background checks and/or drug testing required on the contract.
  • Valid state driver’s license with acceptable driving record as pertinent to the position.
  • US Citizenship


  • Knowledge of Government correspondence and reporting procedures
