University of Toronto Project Administrator (Pay Band 08) in United States

Under general direction of the Administrative Manager, provides support to the Associate Director and project managers. Provides project support by tracking documentation, producing reports, purchase orders, letters of award, change orders and other documents related to the implementation of projects. Processes invoices and expense reimbursements, assists with vendor qualification and correspondence. Attends design and construction status meetings; takes minutes. Obtains building keys and assists contractors to access areas as required. Co-ordinates moves associated with projects, liaising with moving firms. Handles all administrative tasks associated with moves (e.g. packing, temporary signage, reconciling invoices, etc.). For some projects, compiles inventory of furniture with notations regarding relocation. Provides assistance as required in procurement activities.

Education:

College diploma in Business Administration or Business Management.

Experience:

Minimum three years’ related experience. Experience in and understanding of the construction industry. Experience providing administrative support, including scheduling.

Skills:

Advanced skill in the use of word processing, spreadsheet and database management computer applications.

Other:

Ability to work accurately and effectively under pressure of frequent deadlines and conflicting demands. Demonstrated excellent oral and written communication skills, interpersonal and organizational skills, and demonstrated ability to take initiative and solve problems. Minute-taking skills.
