Job Summary

Coordinates the functions of the Medical Staff Office based upon the Bylaws, Rules and Regulations of the Medical Staff, Hospital Policies and Procedures, Joint Commission Accreditation standards and other regulatory agencies. Develops and plans policies, procedures and a variety of functions to carry out responsibilities. Assists the Medical Staff Officers and Department Chairmen and Chief Medical Officer in the duties of the office as directed and independently as needed.


Oversight of Medical Staff operations to ensure that compliance is maintained with all accrediting and regulatory standards applicable to Medical Staff.

Demonstrates working knowledge of accreditation standards and ensure compliance; actively participates in planning and coordinating on-going Joint Commission/CMS readiness activities; interacts with surveyors to demonstrate compliance with standards to maintain accreditation.

Coordinate the credentialing and privileging process for medical staff (physician, podiatrists, dentists and allied health staff members) including but not limited to appointments, reappointments and changes in privileges or staff statuses.

Querying the National Practioner Data Bank as appropriate.

Organize and maintain physician files in the medical staff office.

Coordinates, prepares, and schedules meetings, transcribes minutes for all Department meetings. Assists the Department Chairmen in the functions of the departments as needed.

Present completed files to the Credentials Committee, Medical Executive Committee and Board Credentials Committee for recommendation and approval of appointment and privileges.

Develops and maintains a current Medical and Affiliate Staff Policy and Procedure Manual. Update policy and procedures every two years or as needed.

Coordinates the collection of dues and assessments of the medical staff. Assists the Secretary/ Treasurer of the Medical Staff in functions assigned.

Maintains a thorough knowledge of all functions of the Medical Staff Office, specifically through the mechanism of the Medical and Affiliate Staff Bylaws and Manual and Policies and Procedures of the Medical and Affiliate Staffs.

Monitors and revises credentialing and privileging forms along with privilege criteria to ensure competency in accordance with regulatory guidelines.

Maintains physician on-call calendars accurately and timely. Including entering the call schedules on line and distributing them to the units.

Monitor, tracks and verifies physician board certifications, medical licenses, DEA and malpractice insurance.

Maintains department manuals/records. Coordinates all department meetings and assist Department Chairs, including preparing agenda and send out notices to the department. Attends all department meetings and transcribe minutes.

Acts as a liaison between medical staff and other departments of the hospital and provide assistance in coordination of the duties of the medical staff.

Process Focused and Ongoing professional practice evaluations (FPPE & OPPE) with the appropriate department chair.

Process reappointments of the medical staff accurately and in compliance with defined schedules and in compliance with all regulatory, accreditation standards and medical staff bylaws.

Solely manages day to day operations of the Medical Staff office.

Assistant to Chief Medical Officer. Support and manage appointments and assist in meetings, including minutes.

Provides support to the Medical Staff Officers, Department Chairmen, and Committee Chairmen in carrying out their duties.

Coordinates, prepares, and schedules meetings, transcribes minutes for all Medical Staff Committee meetings, including Medical Executive Committee, Bylaws Committee, Nominating Committee, Medical Staff meetings, Ad Hoc and other committees as assigned and required, including follow up as needed.

Answering phones, management of physician’s lounge, coordination of educational data for the physicians.

Ensures that information is updated in the Credentialing software database.

Identify, investigate and resolve problems related to the medical staff with the support of the Department Chairman, Credentials Committee Chairman, Medical Staff President, and Chief Medical Officer.

Qualifications - Minimum


Required Minimum Education:

2 year Associates Degree.


Preferred: CPCS, CPMSM


Associates Degree in related field or 5 years related experience in a medical environment.

Highly organized. Excellent phone etiquette and verbal communication skills.

Excellent detail orientation and ability to maintain records.

Ability to maintain confidentiality, work independently, Strong customer service skills, ability to establish and maintain effective working relationships.
