Job Description:

Responsible for fiscal processing and account management for SAI

  • Manage the budget tracking process for departmental funds through state accounts, auxiliary accounts, agency accounts, foundation accounts, and fee-based accounts.

  • Work within journals, account ledgers, all PeopleSoft reports and records, and other computerized accounting applications documenting all financial

  • Process purchase requests, invoices, receiving reports, and other business transactions and processes

  • Identify appropriate vendor and negotiation for optimum price and terms as well as take appropriate action to resolve problems with billing or quality of merchandise.

  • Prepare and coordinate purchase orders, acceptance of merchandise, processing of invoice for payment

  • Reconcile monthly reports

  • Process travel paperwork for staff and student organizations, as appropriate, in the office

  • Monitor and maintain logs for long distance, fax, and copier meter readings for department

Responsible for fiscal reports, account tracking, and collaborating on budget planning for SAI

  • Reconcile monthly expenditures and manage track departmental trends through fiscal reports, budget audits, and studies

  • Prepare annual budget proposal in consultation with the Senior Director and Associate Director of Student Activities and Involvement

  • Provide forecasting for departmental spending throughout the annual budget cycle, and make recommendations for effective allocation of funds within the department based on past spending

  • Assist in the drafting and implementation of internal operating procedures, tracking documents and improved operating processes.

Responsible for office support functions

  • Provide oversight for office equipment, including (but not limited to) routine maintenance, service agreements, necessary supplies, and inventory records

  • Order and receive office supplies for area; manage storage and distribution of supplies

  • Develop and maintain up-to-date written operational procedures for area of responsibility

  • Communicate and work with other support staff within unit to ensure cross functional collaborations as needed.

Develop reports, handle special projects, and perform other duties as assigned

Advertised Salary:

$42,000 - $46,000 annually commensurate with education and experience.



Bachelor’s degree in an appropriate area and two years of relevant experience.

  • Demonstrated knowledge of computers and basic software applications (especially Microsoft (MS) Office and Adobe Acrobat

  • Knowledge of university accounting software and protocols preferred
