Great Falls College MSU is seeking an administrative associate that will provide administrative support for the Programs of Study, and the faculty, staff, and students within the Division.DUTIES and RESPONSIBILITIES:This position will work under the supervision of the Health Science Division Director to assist with departmental management and all activities related to Health Science program coordination and customer service to students and external agencies.Greet and provide customer service to students, faculty, staff, and the general public who interact with the division;Answer the telephone and distribute mail for the division office;Submit work orders and maintain the division office;Maintain calendars/schedules with instructional and office hours for faculty members and departmental needs and screen and schedule appointments as appropriate;Coordinate and organize division and other meetings, including notices, room scheduling, food service, agendas, minutes and any needed documentation;Assist faculty and adjunct and affiliate faculty members with development and maintenance of correspondence, instructional materials such as syllabi and evaluations, and book orders; Maintain general budget for the Health Science Division and monitor budgets for programs, including preparing monthly reports and assisting the Division Director and Program Directors with the annual budget process;Purchase supplies for the division and programs;Assist Division Director and Program Directors with accreditation activities, maintain databases and files, develop and assemble reports and documents; Assist Division Director with generating letters of appointments, and other duties as assigned; andCross train in the Dental Clinic to provide backup administrative support as required.QUALIFICATIONS:Work experience that demonstrates evidence of strong public relations and communication skills, both verbal and written;Three years experience or equivalent combination of education and directly related experience as an administrative assistant;Excellent time management and organizational skills and ability to manage multiple tasks with repeated interruptions;Experience maintaining schedules and organizing meetings;Effective customer service experience;Effective written, verbal, and interpersonal communication skills and ability to deal effectively with a variety of students, faculty, staff, and general public; Proficiency in data entry, database management, spreadsheets, and word processing with attention to detail; Working knowledge of Microsoft Office, Excel and Outlook; and Ability to organize and maintain filing systems.PREFERRED QUALIFICATIONS:Associate Degree or certificate in a related field;Experience with Banner; and Familiarity of higher education environment including FERPA requirements.Equal Opportunity Employers.
