Sutter Health Legal Secretary - Business Tax & Governance Team in Sacramento, California

Position Overview:

The Legal Secretary provides professional legal secretarial support to the attorneys and paralegals on the Business, Tax & Governance Team (“BTG”) in the Office of the General Counsel (“OGC”). The Legal Secretary also performs a wide variety of office functions such as calendaring, word processing of large transaction and project documents, formatting presentations and publications, preparing meeting agendas and taking minutes, correspondence, memorandums, organizing and filing incoming materials. The Legal Secretary also assembles and distributes documents to ensure a smooth and efficient flow of work. This position performs other department support duties as assigned in the OGC.

The Legal Secretary has the authority to complete routine tasks within normal job assignments. The Legal Secretary makes those day-to-day decisions required to perform principle accountabilities. These decisions may include, but are not limited to, calendaring changes, dissemination of information, and format changes on documents. The Legal Secretary is limited to making decisions regarding principle accountabilities; all budgetary and work schedule issues are referred to the Vice President.

The Legal Secretary maintains a close, positive working relationship with other secretarial positions within the organization as well as all members of the OGC. This position requires that the individual perform effectively, considerately and professionally when dealing with other contacts that may include board members, senior management team members, attorneys, paralegals, and other individuals representing Sutter Health affiliates, law firms and external clients. Many of these working relationships are associated with the exchange of documents, information, correspondence and calendaring meetings.

Qualifications:

Education

High school diploma or equivalent is required.

A legal secretary certification is desired.

Experience:

Experience as a Legal Secretary or experience that has fostered the development of advanced secretarial skills within a healthcare organization or law office is required; the ability to perform beginning level legal research is required; advanced word processing skills and demonstration of proper formatting of contracts and other legal documents is required. This type of experience is typically acquired in three (3) years of progressive experience and is desired.

Knowledge:

Excellent communication skills, both verbal and written, are required as well as excellent knowledge of the English language, including correct use of spelling, grammar and punctuation. Beginning research skills and understanding of distinctions among legal documents are required. Legal terminology is required. Knowledge of healthcare law is preferred. Thorough knowledge and understanding of the organization, functions, and policies and procedures of Sutter Health are also preferred.

Special Skills/Equipment:

Typing speed of 65 wpm and ability to manage calendars using Microsoft Outlook required. Diplomacy and excellent guest relations in the face of atypical situations are required. Prior proficiency and comfort using a variety of computer software and computer e-mail systems are required, including Microsoft Office Suite, including, Word, PowerPoint, Excel, Outlook, Visio; Adobe Professional, and Workshare. Must possess ability to diplomatically investigate sensitive facts and detailed procedures. The Legal Secretary must demonstrate exceptional organizational skills and the ability to balance numerous priorities at a given time. Must be detail oriented, flexible, self-directed and be able to work with highly confidential information. The ability to work independently and establish workflow priorities with minimal supervision is required. Additionally, the Legal Secretary must be able to compose letters, draft memoranda, provide accuracy in proofing and editing documents and complete projects in a timely manner. Other special skills preferred include the ability to use and troubleshoot office equipment and issues as they arise; and binding and indexing project binders.
