Wright, a Balfour Beatty Company is seeking anAdministrative Assistant who will be responsible for providing administrative support for the Healthcare commercial construction team in the Seattle, Washington office. Essential Functions Answers telephone inquiries and directs calls to appropriate department representative if necessary. Drafts correspondence and assists in preparing agendas and reports for department meetings. Researches data and composes memoranda at the request of immediate supervisor. Organizes and maintains department filing system for easy onsite storage and retrieval. May manage phone systems and phone equipment upgrades including cellular accounts for respective department. Maintains department filing codes for archiving in offsite storage. Handles incoming and outgoing department mail, travel arrangements, conference registrations, office equipment and supplies, etc. Coordinates and participates in department meetings; Capture meeting minutes. Processes work orders or documents in accordance with department procedures. May review department contracts and change orders and prepare for authorization signature; keep logs for contracts and change orders signed by Vice President for jobs. May review department occupational licenses for renewal annually. Assists department in preparing and coordinating proposals, manuals, presentations, etc. Provides reception back up coverage as needed.
